Using Atomicwork data in Power BI reports
You can use Power BI’s powerful tools to create custom reports and dashboards from Atomicwork data. Once connected, your data is kept in sync in near real time, with a maximum delay of about 30 minutes. This ensures that every report you create stays automatically updated with the latest insights.
To set up the integration, connect your PowerBI account with Atomicwork.
Creating a report
To create a custom report from Atomicwork data:
- Go to the default PowerBI workspace containing the semantic model named Atomicwork Analytics Data.
- Click Create report and select from the four available datasets.
- Choose the fields you want to display (e.g., subject, status, created date).
- Drag and drop visuals such as charts, tables, and graphs.
- Save the report to reuse and refresh automatically.
Filter and refine data
You can narrow down your reports by applying filters that focus on the data most relevant to your teams and timelines. For example:
- Use workspace filters to analyze data for specific teams.
- Apply date filters with relative ranges (e.g., last 24 hours, last 7 days).
- Narrow results further using request type or status.
Automate insights
Beyond manual reporting, Power BI makes it easy to automate delivery and monitoring of Atomicwork data. You can:
- Schedule reports to be emailed automatically to stakeholders.
- Create KPI-based alerts (e.g., “Notify me if open requests increase by more than 20%”).
- Rename dataset fields to match your organization’s terminology.
[!NOTE] Row storage limits
Power BI stores up to 200,000 rows per table using a First-In-First-Out (FIFO) policy. Older rows are automatically removed once the limit is reached.
This typically covers 5–10 months of ticket data, assuming ~4,000 tickets a month with about 10 updates per ticket.
For longer retention, periodically export or sync your PowerBI data to a data lake.
PowerBI: Permissions and setup
Permissions
To connect your Atomicwork and PowerBI accounts, you need:
- Atomicwork admin access: You need org admin access in Atomicwork.
- PowerBI license: You need a valid Power BI Pro or Power BI Premium Per User (PPU) license. Free (Fabric) licenses are not supported.
The user connecting Power BI with Atomicwork must be granted the following delegated permissions:

Setup
- As an Atomicwork admin, navigate to Settings > App Store > PowerBI, and click on Connect.
- Click Connect and sync in the integration page and sign in with your Microsoft account. If you are already logged in, your active session will be picked up.
- Atomicwork will automatically sync the following datasets:
- Requests
- Users
- Assets
- Changes
- A semantic model named Analytics Data is created by Atomicwork in your default Power BI workspace.
- Your reporting team can start creating reports in PowerBI with this data. Data syncs automatically with a maximum delay of 30 minutes, depending on event size.

Integrate Atomicwork to PowerBI to give your team access to raw, real-time Atomicwork data directly in Power BI. You can use Power BI’s advanced analytics capabilities to design reports, track KPIs, and automate insights tailored to your business.
With this integration, you can:
- Access four datasets from Atomicwork: requests, users, assets, and changes.
- Build and customize reports to match your unique needs.
- Apply filters across workspaces, request types, and date ranges.
- Use relative time filters (for example, last 24 hours or last 7 days) to track trends.
- Create visuals such as graphs, tables, and KPIs in just minutes using Power BI templates.
- Schedule reports and deliver them via email to stakeholders.
- Configure alerts to be notified when KPIs cross thresholds.
